Administrative Assistant

3 Month contract for now

Baton Rouge, LA 70809

Schedule:

8:00am - 6pm

Monday - Thursday

RESPONSIBILITIES:
This position provides support to the Procurement Payables group.

  • The incumbent completes routine tasks of invoice processing and deals with situations and activities that are straightforward in nature.
  • This position follows established procedures and receives detailed instructions on work activities.
  • This entry level position has limited knowledge of activities in own work area, and follows specific written or verbal instructions for established work procedures.
  • Tasks include, but are not limited to:
    • - Receives invoices for processing
    • - Verifies accuracy of invoice amounts against purchase orders
    • - Ensures all documentation is received that is required to process for payment, or works with others to gain necessary documentation
    • - Data entry of invoice details for system approvals
    • - Tracking to ensure timeliness of approvals
    • - Responding to inquires for payment status


PREFERRED QUALIFICATIONS:

  • Excellent written, verbal, listening, communication, interpersonal, and team-building skills.
  • Ability to work in fast-paced environment and meet multiple priorities and deadlines.
  • Demonstrated ability to pay attention to detail.
  • Must possess excellent data entry skills (with minimal errors or omissions).
  • Be able to work independently and with minimal supervision.
  • High proficiency with computer applications.
  • High school graduate; prefer some college coursework or associate's degree in business.
  • Expert / proficient with computers, including good working knowledge of Microsoft Office Suite (Outlook, Excel, Access, PowerPoint, Word).
