Executive Administrative Assistant

Opportunity Overview

An Executive Assistant for the IS Division is responsible for supporting the administrative needs of one or more I.S. Directors.

This may also include supporting associates within the Directors' areas with specific tasks such as travel arrangements, meeting scheduling and catering services.

Responsibilities:

  • Order, stock, organize, and support office supplies for their area
  • Support copier, fax, overhead projectors and any other office equipment for their area
  • Handle and control each of their Directors' calendars
  • Schedule and coordinate reoccurring meetings for their area
  • Coordinate special meetings/seminars
  • Update weekly directors calendar
  • Coordinate travel arrangements for their Directors and when time permits do the same for other managers and associates
  • Compose itineraries
  • Coordinate and order lunch/refreshment orders for their area
  • Order name plates
  • Order business cards
  • Compile monthly reports due to CIO
  • Update organizational charts
  • Responsible for Federal Express mailings
  • Responsible for updating and posting job openings for their area
  • Handle Directors' incoming and outgoing mail
  • Various project support as necessary

Position Requirements

  • Self-starter
  • Good verbal and written communication skills
  • Excellent organization skills
  • Flexible, creative
  • MUST HAVE experience with Microsoft Outlook, Excel and PowerPoint

* proficient with calendar scheduling

* Basic knowledge of Excel and PowerPoint

  • Mature
  • Professional business appearance and demeanor
  • At least 5 years administrative experience supporting one or more executive positions
  • Ability to handle multiple projects and tasks at a time
  • Prioritization skills
  • Ability to work with confidential information
