Sr. Project Coordinator

Opportunity Overview

  • Leading one or multiple medium scale projects with direction from a project leader and/or team leader. In addition, this role may contribute to large scale projects.

  • Defining and maintaining processes and procedures for effective project management.

  • Leading and assisting project leaders in carrying out project duties and tasks, coordinate project meetings, assist in gathering requirements, and maintain project information.

  • Leading or assisting with monitoring, tracking and communicating progress against project plans. Also lead or assist with issue and risk identification and resolution through adherence to IS defined metrics, baselines and best practices. Includes cost, schedule, critical path, resource, quality and scope.

  • Partnering with business areas and stakeholders to define and outline project objectives and measurement criteria.

  • Estimating cost and schedule after Level 2 and Level 3 requirements and design.

  • Scheduling and facilitating meetings, communicate progress and develop solutions to meet project goals.

  • Working with the Project Leaders to gather all information required to support any sourcing activities the project requires.

  • Attending vendor demonstrations at the direction of the Project Leader.

  • Assisting with or leading the onboarding and oversight of technical contractors.

  • Navigating the packaging and promotion process to move through development, clone and production environments, including change management and bundle release process.

  • Assisting in or leading creation of IS standard project deliverables for Project Reviews and reporting.

  • Managing change control procedures and expenditures within the project.

  • Coordinate defect management and reporting.

Position Requirements

  • A bachelor's degree preferred.

  • Project management certification preferred.

  • 1-3 years of experience leading projects.

  • 1-3 years of IT experience, including a basic understanding of software development, information technology software development environments and architecture.

  • Strong verbal and written communication skills are required as the position will facilitate group meetings and will be responsible for some project communications.

  • Demonstrate organizational skills and time management abilities.

  • Ability to independently learn new technologies and processes.

  • With minimal guidance, identify, prioritize, monitor, communicate, and/or resolve elements that can impact a project.

  • Understanding of project cost and benefit justification.

  • Must have experience with Clarity and/or MS Project skills

Problem Solving:

  • The Sr. Project Coordinator may be responsible for meeting deadlines with a defined amount of resources and matching the available resources with the projects' needs. When faced with time and resource challenges, the position will be responsible for identifying and exploring alternatives in order to select the best alternative that aligns with the project and firm goals.

  • The Sr. Project Coordinator may be responsible for resolving conflicts between stakeholders and building a consensus when project decisions reach an impasse.

  • Must know when to escalate to more experienced project leader when problems are beyond the scope of their responsibility, ability or experience.

  • Assist in the analysis and resolution of individual problems and provide recommendations with mentoring from an experienced Project Leader. Generally the problems include more than one issue with multiple consequences to each resolution.

  • They will need to have the ability to identify, prioritize, monitor, communicate and resolve issues that can impact a small/medium project.

  • Regulations, internal policies, procedures and guidelines exist that must be followed but still require significant and frequent interpretation to solve problems. Solution is recommended by this position for approval by the Project Leader, Team Leader or Department Leader.

  • Solid understanding of IS organization structure and ability to engage the appropriate areas to resolve technical issues.

Decision Making:

  • The Senior Project Coordinator needs to be able to present issues clearly, focus on desired results to recommend a solution and clearly communicate options to leaders. This role will make more complex decisions than the Project Coordinator role with the assistance of the project leader.

  • Most routine daily decisions will be made independent of review. However, other decisions, such as resource commitments, will be subject to review by the leader. Some decisions are made with guidance from the Team, Project, or Department Leader, based on recommendations from this role.

  • This role requires regularly employing industry, firm and regulatory knowledge in decision making and communicating those decisions to stakeholders across the firm.

  • Explores multiple alternatives and arrives at appropriate decisions, which align with department / division goals and/or firm values. These decisions are typically subject to review.

  • Degree of risk is medium, as the more complex and risky decisions are subject to review by leadership.
